Agency Representative

Overall Purpose
  
On behalf of our well-established client in the maritime industry, we are looking for an experienced Operation Agency Representative to join their team in Malta. The successful candidate will coordinate vessel calls and port operations while maintaining strong relationships with ship owners, Masters, and other key stakeholders.
  
Key Responsibilities

• Coordinate vessel arrivals, departures and port calls, ensuring all required documentation and pre-arrival formalities are completed.
• Update relevant port systems and maintain accurate vessel files and records.
• Keep ship owners, charterers and other stakeholders informed of vessel status, berthing, operations and sailing times.
• Coordinate vessel documentation, couriers, spares and other operational requirements.
• Liaise with Finance regarding Proforma DAs and relevant vessel expenses.
• Follow up on any damages involving vessels, equipment or third parties.
• Build strong relationships with vessel Masters, officers, owners and other stakeholders.
• Support the wider Operations team as required.
• Contribute commercially by supporting client retention, identifying new opportunities and promoting vessel services.

  
Requirements

• A-Level standard of education or higher.
• Ideally 2+ years of experience in shipping, port agency or a similar operational role.
• Good understanding of shipping and vessel operations.
• Strong organisational, analytical and problem-solving skills.
• Able to work effectively under pressure and adapt to changing operational requirements.
• Professional, proactive and team-oriented, with strong communication and relationship-building skills.
• Commercial awareness and a positive, hands-on approach.
